Owner payouts without spreadsheets: payments, receipts and a portal

Rentamos builds each owner payout from the booking: an outgoing payment with a due date, the service fee deducted and a PDF receipt. Once you mark it paid, the receipt appears in the owner portal, available in 7 languages. You make the transfer from your own bank: Rentamos records the payment, it does not execute it.

Key facts

  1. The Rentamos owner portal runs in 7 languages, including Spanish, English, Dutch and German.
  2. The first owner payment falls due under one of three rules; by default, the 1st of the following month.
  3. Since version 1.105, the owner payouts module can be switched off if you own your flats.

What changes at month-end

Owner payouts are no longer built by hand: they come out of the booking. When you click “Prepare Contract (Proformas)”, Rentamos creates the tenant’s proforma, the outgoing payment to the owner and, if the booking carries a service fee, the service fee invoice addressed to the owner. On longer stays it does the same for every monthly installment.

At month-end you no longer reconcile a spreadsheet against the bank. You open Outgoing Payments to Owners, see which tenants have paid and what each owner is due.

How the owner’s amount is calculated

Every outgoing payment shows the calculation in columns:

  • Owner amount: the owner’s rent for the period plus the booking items that belong to the owner, such as cleaning or extras.
  • Service fee: the booking’s percentage of the owner’s rent, plus VAT, invoiced separately.
  • Other expenses: costs you charge to the owner in that payment.
  • Total to pay: the owner amount minus the service fee and other expenses.

The “Paid by Tenant” column shows whether the tenant has paid their proforma. So you only pay out what you have already collected, without opening the bank statement.

What the owner sees in the portal

The owner portal answers the questions that used to arrive by phone. On Home the owner sees the next payout with amount and purpose; no date is shown, because a planned due date is not a payday. Under Money they find what they received this year, their receipts, service fees and invoices, and they can export their receipts to Excel.

Each property has a 12-month calendar (free, booked or blocked) without tenant names, where owners can block dates for their own use. They also see published maintenance reports, their incidents and, if you enable it, the signed contract. If you manage long-stay rentals for owners who live abroad, this replaces the weekly phone call.

The portal runs in 7 languages and picks the owner’s language from their customer record. A Dutch or German owner reads their payout without translating anything.

For empty flats there is also a “Letting” tab, in beta: it shows how many prospects you offered the flat to, with no personal data. For now it counts only proposals sent from Rentamos.

What Rentamos does not do (yet)

  • It does not execute payments. There is no SEPA batch and no bank connection: you export the list to Excel or CSV with IBAN and account holder, pay from your bank and mark the payments as paid in Rentamos.
  • It does not connect to your accounting software. Invoices and payments export to CSV or Excel.
  • The receipt PDF is in English. The portal follows the owner’s language; the receipt PDF does not, for now.
  • The due-date rule only affects the first payment of each booking; monthly installments and service fees keep their dates.

Owner payouts work the same for mid-term rentals of a few months as for long stays. Plans are quote-based and depend on your portfolio; see pricing. To see it with your own bookings, book a free 20-min call.

Under Settings → Invoices → Owner Payouts, pick the rule: the 1st of the month after check-in (default), the next payout run on or after check-in (for example, days 5 and 20) or the day the tenant pays. With the last one, the due date updates when you confirm the tenant’s payment with “Validate Payment”.

Frequently asked questions

Does Rentamos send the transfers to owners?

No. Rentamos calculates and records every payout, but it has no SEPA batches and no bank connection. You export the list with IBAN and total to pay, pay from your bank and mark the payouts as paid.

What does the owner see in the portal?

Their next payout, what they received this year, receipts, service fees and invoices, a calendar per property without tenant names, maintenance reports and their incidents. The signed contract appears only if you share it from the booking.

Which languages does the owner portal support?

7: Spanish, English, French, Dutch, Portuguese, German and Polish. The language comes from the owner’s record and the owner can change it; the receipt PDF is generated in English for now.

What if my agency owns the flats it rents out?

Mark those properties as “Owned by us”: their bookings create no owner payout and no service fee. If you manage no third-party flats at all, since version 1.105 you can switch off the “Owner payouts” module under Settings → Quick Setup → Modules → Finance.
